How Voicemail to Email Works

When somebody leaves you a voicemail, the system captures the recording and emails it to you right away. The audio file comes as a WAV attachment — plays in any email client, on any phone, laptop, or tablet. You don't need to install anything or remember another password.

Each extension can send voicemails to one email address or several. A shared reception line could deliver to the whole front desk team. An executive's direct line might go only to their assistant. It's completely flexible and we set it up however makes sense for your office.

What format is the audio file?

Voicemails arrive as WAV files attached to the email. WAV plays natively on iPhones, Android devices, Macs, PCs — basically everything. No special software needed.

Can I send voicemails to more than one email?

Yes. Each extension can deliver voicemails to multiple email addresses. Useful for shared lines, team inboxes, or when an assistant monitors messages on behalf of someone else.

Does the voicemail stay on the phone system too?

That's up to you. You can keep the voicemail on the PBX (so the message-waiting light stays on until you listen from the handset) or have it delete after emailing. Most people choose delete-after-email to keep the mailbox clean.

Will I see who called?

Yes. The email includes the caller's phone number, the date and time of the call, and the duration of the message. If caller ID name (CNAM) is available, that shows up too.

How fast does the email arrive?

Usually within a few seconds of the caller hanging up. There's a short processing delay while the system encodes the audio, but it's almost instant in practice.

Is voicemail to email included or extra?

Included with every VoipPlus account at no additional cost. It's one of the 50+ features that come standard. Other providers sometimes charge for it — we don't.
